We are seeking an experienced and professional Administrative Assistant to join our client`s luxury hotel team. The successful candidate will provide administrative support to the hotel’s executive team and ensure the smooth operation of the administrative functions of the hotel.

Responsibilities:

  • Act as the first point of contact for the executive team, guests, and vendors, always maintaining a professional and friendly.
  • Manage the executives’ calendars, schedule appointments, and coordinate meetings and events.
  • Provide administrative support to the executive team, including drafting emails, creating reports, and conducting research.
  • Manage correspondence, including sorting and distributing mail, responding to emails, and answering phone calls.
  • Handle travel arrangements for the executive team, including booking flights, hotels, and transportation.
  • Maintain and update records and files as required, always ensuring confidentiality and accuracy.
  • Manage and prioritize multiple tasks, ensuring deadlines are met and tasks are completed efficiently and effectively.
  • Oversee the hotel’s general administrative tasks, including ordering office supplies and maintaining the reception area.
  • Coordinate with other departments and personnel as necessary to ensure smooth hotel operations.

Requirements:

  • Associate or bachelor’s degree in business administration or a related field preferred.
  • Proven work experience as an administrative assistant or similar role in a luxury hotel or similar setting.
  • Excellent communication and interpersonal skills, with the ability to interact professionally with guests, vendors, and staff.
  • Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • High level of proficiency in Microsoft Office Suite and basic computer skills.
  • Familiarity with office equipment and tools such as copiers, fax machines, and printers.
  • Fluent in English, and Arabic with excellent writing and grammar skills, any additional language is a plus.
  • Attention to detail and ability to maintain confidentiality.
  • Ability to work independently and as part of a team.
